GlassBound LLC, a Texas limited liability company ("GlassBound," "we," "us," or "our"), operates the DECA exam preparation service at glassbound.net (the "Service"). Most of our users are high school students, many of them under 18. This policy explains what we collect, why, who can see it, how long we keep it, and what you (or your parent or guardian) can ask us to do with it.
We do not sell personal information. We do not show ads, and we do not use student information for targeted advertising or to build profiles for any purpose other than running the Service.
GlassBound is for students aged 13 and older and for the chapter advisors who work with them. It is not directed to children under 13, and we do not knowingly collect personal information from anyone under 13. If you believe a child under 13 has created an account, contact us and we will delete it.
If you are under 18, please review this policy with a parent or guardian. A parent or guardian may contact us to see, correct or delete their child's information (see sections 9 and 10).
Account. Your email address, username and password. Passwords are handled by our authentication provider (Supabase) and stored only as a hash, never in plain text. If you joined through a beta tester application, your account may also carry the full name and US state from that application. We also record the invite code or chapter link you signed up with.
Age and agreement. At sign-up we ask for your date of birth to check that you are 13 or older. Once your account is set up, we keep only the year you were born. We record when you agreed to our Terms and this policy.
Beta tester applications and the waitlist. The application form collects your email, full name, US state, Discord username (optional) and how you heard about us. The waitlist collects your email and any referral code.
Chapters. When a school's DECA chapter is set up, we collect the chapter name, school name, expected chapter size and the advisor's email. When a student joins through a chapter link, we record the membership, its status (pending, approved, removed or left), the dates, and a history of changes.
Feedback. Bug reports (including any screenshots you attach), feature requests and votes, and emails you send to a glassbound.net address.
Practice and study data. The questions we serve you, the answer you choose for each one, whether it was correct, when you answered, your practice test scores, your study plan and review progress, streaks and points. We use this to run your study plan, show your results and find the topics you miss most. We also log which questions were served to each account and when, to stop the question bank being copied in bulk.
Roleplay practice (not yet available). When roleplay practice launches, the Service will record your spoken answers so they can be transcribed and scored. The audio is deleted once scoring finishes. The written transcript and your score are kept on your account so you can review them.
Product analytics (PostHog, US cloud), only if you allow it. We ask the first time you visit. Until you accept, PostHog does not record your activity or store anything in your browser, and a Global Privacy Control signal counts as a no. Our site still asks PostHog which features are switched on; that request sends your IP address and a random ID (your account's random ID if you are signed in). If you accept, we use PostHog to see how the Service is used and where it breaks. It automatically records the pages you view and leave, clicks and other interactions ("autocapture"), events such as starting or finishing a practice test (with the score, the question ID and whether each answer was correct, never the question text or the answer you chose), and errors that happen in your browser. When you are signed in, PostHog links this activity to your account's random ID. We do not send it your email, name or username. It stores an identifier in your browser (cookie or local storage). Activity from administrator accounts is not recorded. You can change your choice at any time; see our Cookie Policy.
No session replay. We do not record session replays (screen recordings of how you use the app). Replay is switched off both in our app and in our PostHog project.
Vercel Web Analytics. Our host, Vercel, collects page-visit statistics such as pages visited, referrer, country, browser and device type. It does not use cookies and runs whether or not you accept PostHog analytics.
Error logs. When something breaks, we record the error message, technical details, the page, the app version and your account ID, and use them only to fix problems.
Abuse protection. To limit abuse, we keep daily request counters keyed to your IP address or email for some actions (sign-in, password reset, waitlist).
Your browser's storage. We store your sign-in session, your display preferences and your in-progress study sessions in your browser's local storage. These are needed for the Service to work. Every cookie and storage item is listed in our Cookie Policy.
We do not send marketing email.
If you join a DECA chapter on GlassBound, your advisor sees what this notice, also shown when you join, describes:
"Your advisor can see how many questions you’ve answered, how many practice tests you’ve taken, when you were last active, which topics you miss most, and your roleplay scores. They never see your roleplay transcripts, recordings, or your question answers."
In detail: your name (or your username if you gave no name), your username, your membership status, the number of questions you've answered, the number of practice tests you've taken and when you were last active, plus your most-missed topics (the top three by default) with how many questions you attempted and missed in each. Your advisor also sees chapter-wide accuracy by DECA instructional area when at least 3 students practised it. All of this counts only activity from the day your advisor approved you. Your advisor also sees requests to join before approving them. Advisors cannot see the answers you chose, your study sessions or your email address.
When roleplay practice launches, advisors may also see your roleplay scores (the total and per-line levels for each session), but not your transcripts, recordings or audio.
You can only belong to one chapter at a time. Your advisor can remove you from the chapter. You can also leave your chapter yourself in the app; your advisor will see that you left.
When a school or its DECA chapter uses GlassBound for its students, we use the chapter information above only to provide the Service to that chapter, and for no other purpose. A school, advisor or parent can ask us to review, correct or delete a student's information (see section 10).
These companies process information on our behalf, only to run the Service:
If you join our Discord server as a beta tester, Discord's own privacy policy applies to what you do there. Our Discord bot records your Discord user ID and username to match you to your application and send your invite.
We may also disclose information if the law requires it, or to protect the safety of our users.
If you ask us to delete your account, we delete your personal data within 30 days. Copies in backups expire within the following 90 days.
You, or your parent or guardian if you are under 18, can ask us to:
You can download your data or delete your account yourself in Settings, under Your data. For anything else, email us at the address below. We may need to confirm that you own the account, or that you are the student's parent or guardian, before we act. If you are a chapter's only advisor, you'll need to hand over the chapter first.
We use database access controls that limit who can see which data, keep answer keys on the server, and encrypt our backups. No system is perfectly secure. If a breach affects your information, we will tell you as the law requires.
If we change this policy, we will post the new version here and update the date at the top. For a material change, we will also make reasonable efforts to let users know.
